Cork District Society Executive

Term: Maternity Leave fixed term contract
Hours: full time
Location: remote working arrangement based in Cork or surrounding areas, travel to events required

About the Institute

Chartered Accountants Ireland is the largest and longest established professional accountancy body in Ireland, representing over 38,400 members around the world and educating 6,600 students. The Institute aims to create opportunities for members and students, and ethical, sustainable prosperity for society. An all-island body, Chartered Accountants Ireland was established by Royal Charter in 1888 and now has members in more than 100 countries. It is a founding member of Chartered Accountants Worldwide, the international network of over one million chartered accountants. It also plays key roles in the Global Accounting Alliance, Accountancy Europe and the International Federation of Accountants.

 

The role

The Cork District Society Executive supports the local members by organising and hosting a range of social and professional networking events and activities. 
A key activity is supporting the Chair of the society and the committee based locally whilst developing the chartered accountancy brand in the local market by means of local support and fostering relationships locally. The Executive will represent the views and interests of local members both to the Council and Executive of the Institute and to local business organisations and media. This role will coordinate local marketing activities to ensure the society effectively promotes itself internally and externally, on time and within budget.

The Cork society committee is a voluntary elected committee comprising several local members who deliver the local activities of the Cork Society. A Chairperson and vice – chairperson are elected annually. The Committee of the Cork Society has been continually active for many years in designing and delivering a busy schedule of events on an annual basis designed to support local members. These include social networking and professional development events with the number of attendees ranging from 40 to 300+. The role of the Cork Society Executive has been instrumental in coordinating such events and in liaising between the Committee, the members, and relevant staff of Chartered Accountants Ireland, as appropriate. 

 

Key responsibilities

Event Management
• The Management of all society events from planning & advertising stages through to completion & follow up. This includes attendance at such events and an ability to oversee the running of the event, dealing appropriately with any unforeseen issues in a timely and courteous manner. 
• Management of all society face-to-face and virtual events including events with the wider Member Experience team. 
• Preparation, managing and overseeing budgets for each event. 
• Monitoring and analyzing financial outcomes of events as part of a post event analysis. 
• Maintenance of a complete file for each event held, including contracts, financial details, design, and press elements, with recommendations arising from post-event review.  
• Charity collaborations on events throughout the year, with focus on the Daffodil Day Breakfast, Cork Society flagship event.
• Uploading of events to Aptify system.

Relationship & Stakeholder Management
• Supporting the Chairman, Officers and other Main Committee and Sub Committee members in all Society matters, maintaining continuous liaison with them regarding the Society's calendar of events & activities. 
• Participating, advising, and offering ideas to the committee members in the running of all society projects and events. Relationship management and stakeholder engagement with the committee, and between the committee and the Institute.
• Maintaining a good relationship with all suppliers and sponsors, and facilitating sponsorship deals where required for events.
 
Committee and Collaborations

• Participating in meetings of the Main Committee of the Society and at other Committee meetings, including the preparation and issue of the agenda and supporting papers and the keeping of records of such meetings.
• Attendance and participation at Member Services and District Societies meetings.
• Working closely with the committee, in particular the Chair and the committee Treasurer.
• Building a comprehensive knowledge of the committee, our members, and their needs.
• Supporting Chartered Accountants Ireland in the coordination of delivery of Continuing Professional Development (CPD) services in the Munster area. 
• Collaboration with other departments and other District Societies.
• Tracking event activities and member engagement.
• Managing the co-ordination of Chartered Accountants Voluntary Advice (CAVA) service. 

Marketing & Communications
• Managing all print and digital communications on behalf of society aligned with the Institute guidelines and in conjunction with the marketing team. For example, social platforms, digital and print including the society’s publications. This will also include the editing society website pages and contributing to E-news on a weekly basis.
• GDPR - developing and compliance across the department and committee, including committee files, attendee lists and privacy policies with external suppliers.

 

The candidate

· The candidate will have 5 years working in the area of event management, ideally combined with marketing experience.
· The successful candidate will have experience of working in a fast-paced environment which required high levels of flexibly, initiative and customer service ability.
· Demonstrated relationship management and capable of building strong relationships with members and senior stakeholders.
· Be highly organised and competent with database systems and Microsoft Office.
