Leinster Society Finance & Events Executive

Term: permanent contract

Summary of Role

Reporting to the District and Global Member Manager, the Leinster Society Finance & Events Executive is responsible for the accounting and bookkeeping requirements for the Leinster Society. This includes gathering, checking, and analysing financial information to support the financial governance of the Society. Beyond the core duties managing the Society’s accounts, the role provides support at corporate events hosted by the society.  

The District Society Team 

Active participation in the wider District Society Team is an integral aspect of this role. Team members are expected to engage collaboratively, contributing to the collective goals and initiatives of the District Societies in line with the overarching goals of Chartered Accountants Ireland.  

By working together and supporting one another, the team enhances the effectiveness of its activities and fosters the company values, trust and sense of community within the organisation. 

Key responsibilities 

Finance

  • Responsible for day-to-day bookkeeping for Leinster Society events, including the management of bookings, purchase orders and monthly bank reconciliations. 

  • Working closely with the Treasurer in preparing annual accounts. 

  • Handling lodgements, credit control, and the management of debtors and creditors. 

  • Process invoicing, monthly pay runs, raise refunds, and credit notes, while ensuring accurate VAT treatment and compliance. 

  • Preparation of detailed budgets for each event and report on actuals post event.  

  • To oversee invoicing, process payments, and raise refunds and credit notes as required. 

  • Provide ad-hoc assistance with head office quarterly accounts for other District Societies. 

Event Support

  • Work as part of the broader events team to support the coordination of events. 

  • Manage bookings and payments related to events. 

  • Respond to customer/member queries and deliver excellent customer and member service. 

  • Attend and support member-facing events. 

  • Assist with all aspects of event set-up, registration, and event delivery. 

  • At certain times, the Finance & Events Executive will need to oversee and coordinate various society events, handling every aspect from start to finish, including marketing and all other necessary components to ensure successful execution.  

Committee Support

  • Work closely with the Events Executive Lead and the Main Committee to support committee activities and events. 

  • At certain times, they will be required to fully support the Chair and committee to guarantee that all activities are carried out effectively. 

Skills and Experience 

  • Ideally the candidate should have 3- 5 years’ experience in a finance/ accounts role and experience in event management or hospitality.

  • This role requires a high level of professionalism and a commitment to excellence, with a clear focus on delivering an outstanding customer experience. The successful candidate will be expected to uphold these standards in all aspects of their work, ensuring that their conduct reflects the values of the organisation. 

  • Strong communication skills are essential. The ability to communicate effectively within the organisation, with members, and with other stakeholders including senior business professionals is a key requirement. This ensures smooth collaboration and a consistent approach to member and stakeholder engagement. 

  • The candidate should demonstrate initiative and exercise discretion in their duties. An ability to perform effectively under pressure is important, particularly when dealing with time-sensitive tasks or unexpected challenges. 

  • Adaptability and the capacity to multi-task are required, as priorities may shift and new demands can arise. Responding efficiently to these changes is crucial to maintaining productivity and meeting organisational needs. 

  • The individual must take responsibility for completing work efficiently and within agreed deadlines. High levels of accuracy are expected to ensure the quality and reliability of outcomes. 

  • Flexibility and reliability are also important attributes for this role. As some events may occur outside regular working hours, the candidate should be prepared to adjust their schedule when necessary to support organisational activities.
